Noice — Privacy Policy

This policy describes how Noice (”we,” “the Project”) handles personal information submitted by contributors and participants. Noice is a volunteer-run, internationally operating charity anthology project. Questions about this policy can be directed to info@noice.charity.
Data Controllers
Noice operates under a joint controller arrangement. The two data controllers responsible for personal information collected through this Project are:
Morgan A. Drake (operating in an individual capacity, based in Italy)
Ed the Editor (operating through his individual capacity, based in the United States)
Either controller can be reached through: info@noice.charity.
Age Requirement
Noice accepts submissions from adults only. Because this anthology contains adult themes — including sexual content and depictions of violence and trauma — you must be of legal adult age in your jurisdiction to participate. If you are unsure whether you meet this requirement, contact us at info@noice.charity before submitting.
We do not knowingly collect personal information from individuals who are minors in their jurisdiction. If we become aware that we have done so, we will delete that information promptly.
What We Collect and Why
When you submit work through our Google Form, we collect:
Your name and/or pen name (for attribution and communication)
Your email address (to communicate with you about your submission and, if accepted, your publication)
Attribution links you provide (Substack, website, social media — used for attribution if accepted)
Your print publication preference (whether you consent to inclusion in the print anthology)
An optional note about your connection to the theme (used for editorial context only)
We use this information only for the purposes described above. We do not use it for marketing, profiling, or any purpose unrelated to managing your submission and publication.
Who We Share It With
We share your information with the following service providers only:
Google LLC — for form submission (Google Forms) and email communication (Gmail). Google is certified under the EU–U.S. Data Privacy Framework. See policies.google.com/privacy.
Substack, Inc. — our publishing platform at noice.charity. If your work is accepted, your name or pen name and any attribution links you provided will appear publicly on the Platform. See substack.com/privacy.
BookVault — our print-on-demand provider. If you opt into the print anthology, your name or pen name will appear in the printed edition distributed through BookVault. See the privacy policy shared at bookvault.app.
We do not sell or share your information with any other party.
A note on Discord: If you join the Noice Discord community, you are entering a direct relationship with Discord, Inc. under their own Terms of Service and Privacy Policy. We do not collect or store personal data through Discord, and Discord’s data practices are governed independently of this policy.
Legal Basis for Processing (EEA and UK)
We process your personal information on the following legal bases:
Consent — for collecting your submission and contact details
Performance of a contract — where an acceptance agreement is reached and your work is prepared for publication
Legitimate interests — for maintaining records of editorial decisions
You may withdraw consent at any time by contacting us at info@noice.charity. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
International Transfers
Your data is processed in the United States (via Google and Substack) and in Italy (by Morgan A. Drake as joint controller). Transfers from the EEA or UK rely on Standard Contractual Clauses and, where applicable, the EU–U.S. Data Privacy Framework.
Retention
We retain your contact information (name and email) for as long as needed to manage your submission — typically no more than 12 months after a final editorial decision.
If your work is accepted and published, your name or pen name and attribution links will appear permanently on the Platform as part of the published record. This is a distinct and ongoing use of your publicly provided attribution details, which you consent to by granting us publication rights under the Terms of Service. You may request removal of your published attribution at any time; we will make reasonable efforts to accommodate this, though we cannot guarantee removal from all distributed formats (including print editions already in circulation).
Your Rights
Depending on where you live, you may have the following rights regarding your personal information:
Access — obtain a copy of the data we hold about you
Rectification — correct inaccurate data
Erasure — request deletion of your data
Portability — receive your data in a machine-readable format (EEA/UK)
Restriction — limit how we process your data (EEA/UK)
Objection — object to processing based on legitimate interests (EEA/UK)
Withdraw consent — at any time, without affecting prior processing
Opt out of automated decision-making and profiling

You also have the right to lodge a complaint with your local supervisory authority: your national data protection authority (EU), the UK ICO (UK), the Office of the Privacy Commissioner (Canada), the Commission d’accès à l’information (Quebec), or the Office of the Australian Information Commissioner (Australia).
Cookies and Tracking
This policy covers only the personal information we collect directly through the submission process. Our platform is hosted on Substack, which independently collects visitor data and sets cookies when you browse noice.charity. Substack’s data practices are governed by Substack’s Privacy Policy at substack.com/privacy.
